A complaint without an owner and a deadline is just a message.
Why chat groups are a poor helpdesk
WhatsApp groups are quick, but a complaint disappears under new messages within the hour. Nobody can tell whether it was seen, who is handling it, or whether it was fixed. Residents repeat themselves, and staff are chased through several channels.
The basics of a ticket process
- Every complaint becomes a ticket with a category, a location and a time stamp.
- A named person or team owns it.
- A target resolution time, or SLA, applies to each category.
- The resident sees status updates until it is closed.
How Aptos handles it
Aptos includes a helpdesk with SLA-tracked complaints and routing to the right maintenance staff, with resolution reporting for the committee. The same app covers noticeboards and polls, so announcements and decisions stay on the record.
Choosing categories and SLAs
Start with a short list: plumbing, electrical, lifts, housekeeping, security, parking and common areas. Assign each a target response and resolution time that is realistic for your vendors. Urgent categories such as a lift stuck or a water leak can have a shorter target than cosmetic repairs.
Closing the loop
The habit that builds trust is simple: tell the resident when the ticket is received, when it is assigned and when it is closed, and let them reopen it if the fix did not hold. Even a delayed fix feels better when the resident knows the status.
Common questions
Will residents actually use it? Adoption rises when raising a ticket is faster than posting in a group, and when tickets get visible responses.
What about private complaints? Allow confidential tickets that only the committee and relevant staff can see.
How do we hold vendors to account? Use ticket and SLA data in vendor reviews and renewals.
Use the data
Ticket history shows patterns: the same lift failing, the same block with drainage issues. That is evidence for budgeting and vendor decisions, which a chat log cannot give you. Read more on billing and the gate process.
