A better gate process: visitor management for housing societies.

The best gate process is one residents barely notice and guards never have to guess.

Why paper registers fall short

A paper register records names and times, but it cannot confirm that the visitor is who they say they are, that the resident approved, or find last month's entry quickly. Guards also have to phone flats, which queues up the gate at busy times.

What a digital process adds

  • Pre-approval: residents invite expected guests and deliveries in advance.
  • Validation: QR, biometric or passcode checks at the gate.
  • Approval: residents approve or deny from their phone in seconds.
  • Records: a searchable log of who came, when and who approved.

Rolling it out smoothly

Start with guards, since they use it the most. Give residents a short, clear guide, and keep the paper register as a fallback for the first weeks. Review the log with the committee after a month to confirm it is working.

Deliveries and regular help

Most gate traffic is not guests. It is delivery partners, domestic help, drivers and vendors. Treat them separately. Regular staff can be registered once with a pass and a validity period. Deliveries can be handled with a quick approval or a standing instruction from the resident, such as leaving parcels with the guard. This removes the repeated calls to flats that slow the gate.

Support the guards

The system succeeds or fails at the gate, so design for the guard's workflow: clear prompts, few taps and a plain fallback when something fails. Provide a short checklist, a phone number for support and a manual override logged for later review.

What if a resident does not respond? Define a policy in advance, such as calling the flat or holding the visitor, and record the outcome.

How long should visitor records be kept? Agree a retention period with the committee and publish it, in line with applicable privacy requirements.

Is it secure for residents' data? Ask any vendor how data is stored and who can see it, and limit access by role.
