Attendance data is only useful if employees trust how it is collected.
What geo-fencing means
A geo-fence is a virtual boundary around a location such as an office, site or store. With geo-fenced attendance, an employee can mark attendance from their phone only when they are inside that boundary, which removes the need for a device at every location and reduces buddy punching.
Where it fits well
- Teams spread over several offices, stores or project sites.
- Field staff who visit client locations.
- Businesses without the budget to install biometric hardware everywhere.
Where to be careful
Phone location accuracy varies, especially indoors, so allow a sensible boundary and a process to correct genuine misses. Be transparent about what is collected and why, and limit tracking to working hours. Fair use builds trust, and heavy-handed use damages it.
A rollout plan
- Define the locations and a realistic boundary radius for each.
- Agree and publish the policy: what is recorded, when, and who can see it.
- Pilot with one team for two to four weeks.
- Review misses and adjust boundaries or add a correction process.
- Extend to the rest of the company.
Involving employees early reduces suspicion and surfaces practical problems, such as a site with poor signal, before they affect payroll.
Handling corrections fairly
Genuine misses will happen: a dead battery, a poor signal, a meeting at a client site. Provide a simple way to request a correction with a reason, route it to the manager and keep a record. If corrections are painful, employees will feel penalised for system failures.
Common questions
Does it track employees all day? It need not. A well-designed policy checks location only when attendance is marked.
Can we combine it with biometric machines? Yes, and many businesses do, as long as both feed one attendance record.
How does it affect payroll? Attendance and leave data flow directly into salary calculation, which reduces re-keying errors.
Mobile and biometric together
Many businesses use both: biometric devices at head office and mobile attendance for everyone else. What matters is that every method feeds a single attendance record. Loom supports geo-fenced mobile attendance and synchronises with biometric machines, so shift planning, leave and payroll read the same data.
